Scheduling University Events

All student organizations and clubs should request their room reservations with their Program Advisor in the Office of Student Leadership and Involvement. If you have any questions please contact the Student Leadership and Involvement office at 617-573-8320.

Ticket Policy for Events

When purchasing tickets for events, you must present your valid Suffolk ID. Tickets for most events can be purchased at Student Leadership and Involvement Information Desk, located in the 3rd floor in Sawyer. Student Government sponsored tickets are only for undergraduate students. There are no refunds for purchased tickets, and tickets must be purchased with your RAM card. Tickets are non-transferable. Tickets for off-campus events must be purchased in advance. Two tickets may be sold per Ram Card ID unless otherwise noted.

Guest Policy for Events

When approved, students may invite guests to campus events. All guests attending Suffolk events must present a picture ID when requested by a University staff member. Guests must be 18 years or older to attend events. In addition, the Suffolk student hosting the guest must be present with the guest at all times. It is responsibility of the Suffolk student and their guest to act in accordance with University policies and students will be held responsible for their guest’s behavior. Inappropriate behavior will be reported to SUPD and/or Student Affairs for appropriate disciplinary action. Exceptions to this policy may be made on a case-by-case basis by the Assistant Dean/Director of Student Leadership and Involvement or the department director overseeing the event.

Publicity and Advertising on Campus

Posting Policy in Administrative and Academic Buildings

It is the responsibility and charge of the Office of Student Leadership and Involvement (SLI) and Law Dean of Students Office to ensure that advertising in administrative and academic buildings is appropriate, effective and not redundant.

Undergraduate postings, graduate student postings, CAS & SBS department postings, and central administration postings must be stamped by SLI, located on the 3rd floor of Sawyer.

Law student postings and law departmental postings must be approved by the Law Dean of Students Office, located on the 4th floor of Sargent.

All advertisements must have the below information to be approved

  • Full name and contact information of the sponsoring organization(s)
  • Nature of the program
  • Date, time, the location of program/event, and availability of transportation (or directions) if off-campus
  • Admission criteria, if necessary, such as ticket price or Suffolk ID required
  • Rain dates and refund policy (if applicable)

For this policy, a “flyer” is defined as a single 8 ½” by 11” paper. A “poster” is defined as a single 11” x 17” paper. A “foam mounted poster” is defined as a single 24” by 36” foam core mounted poster.

Posters may not exceed 11” x 17” except when authorization of The Office of Student Leadership and Involvement or the Law Dean of Students Office.

The appropriate office must stamp all posters and flyers BEFORE they are posted on free campus bulletin boards (those NOT enclosed by glass or designated by a Department).

Posters and flyers cannot be posted on any restricted bulletin boards, windows, doors, posts, and elevator doors or within elevators or bathrooms, as they will be removed.

Posters or flyers must be limited to one (1) per bulletin board per event.

It is the responsibility of the organization or office to post and also remove its flyers at the determined date stamped on the posting.

Posters or flyers may NOT be posted on walls, woodwork, lockers, doors, windows, in elevators, or in restrooms. If directional signage is required for a specific event, you may use painters’ tape only to post on the Classroom/Conference Room door or wall outside the room/classroom. All signage must be promptly removed by the event organizer immediately following event.

If alcohol is served at an event, advertisements shall not mention the availability of the alcoholic beverages.

Posters or flyers must be affixed with thumbtacks, pushpins or regular staples, not glue or tape. Magnets should be used to post on white magnetic dry-erase boards.

Please do not post your advertisements over the advertisements of other departments or organizations. If no space is available on a particular board, you must wait until space opens up before posting your flyers. Advertisements displayed over the advertisements of another group will be removed.

Postings should contain proper spelling and grammar and should be appropriate in content for a professional school environment.

To keep our advertising practices fair and consistent to all groups, the staff of SLI and the Law Dean of Students Office will monitor the campus bulletin boards to ensure that these policies are being followed. An organization that consistently violates these policies will have its advertising rights restricted.

Lobby Easel Use

To increase awareness and publicity of campus programs and services, the use of poster-board easels is available to any club, organization or department with the approval of the Office of Student Leadership and Involvement or the Law Dean of Students Office

Easel space may be reserved through the Office of Student Leadership and Involvement for Sawyer, Somerset and Tremont, and Law Dean of Students for Sargent Hall.

Form mounted posters on easels may be used ONLY on the day of events.

Easels must be provided by the person or organization responsible for the posting.

Easels may not block access to elevators, door/entrance ways and egress or emergency exits. ADA compliance must also be taken into consideration.

Sawyer Guidelines

  • Up to 3 easels (1 per event) with foam mounted posters may be posted on the day of an event only in the first-floor lobby.

20 Somerset Guidelines

  • Up to 3 easels (1 per event) with foam mounted posters may be posted on the day of an event only in the first-floor lobby.

73 Tremont Guidelines

  • Up to 3 easels (1 per event) with foam mounted posters may be posted on the day of an event only in the first-floor lobby. NO easels may be posted on the 2nd floor.

Sargent Hall Guidelines

  • 1 easel with 1 foam mounted poster may be posted on the day of an event only outside the Function Room (Room 170); Large Courtroom (Room 425); Faculty Dining Room or Alumni Meeting Room (Suite 495); Corcoran Room (715).

Posting Policy for the Suffolk University Residence Halls

All departments/organizations who are interested in posting in the Residence Hall should bring their flyers and posters to the appropriate Residence Life Office, located on the 1st floors of 150 Tremont Street, 10 Somerset Street, and 10 West Street. For security reasons, organizations cannot post their flyers in the Residence Halls themselves and must leave the fliers with the Residence Life Staff.
