Event Planning Resources

Once you have reserved an appropriate space for your event, you may need to contact one of more of the following departments in order to complete your event planning.


If your event is being held in a room that requires a setup (such as the Function Room or The Commons) or if you are in need of additional furniture (such as a panel table in a classroom) you must submit a work order through FS Direct (School Dude).

Event setup requests should be submitted at least five business days before your event. Please note: you must use the FS Direct system for event-related needs, NOT the Maintenance Direct system. Every building on campus is now under the FS Direct system for events.

Submit a work order.

The Office of Conferences & Events works closely with the Facilities Dept. to ensure events are setup correctly, on time, and to the specifications of the submitted work order. Please contact us if you have any questions on rooms setups, furniture available, or need diagram templates.


You can place your catering order online up to three (3) business days before your event (four (4) days prior if your event is on a weekend).

You can also contact Sodexo directly at x6294 or via email with any questions you have regarding your order.

Aside from menu planning, Sodexo can also assist you with ordering linens, china, flowers and/or additional equipment for your special event.

Media Services

Please email us at least five business days before your event to discuss your particular needs or to setup a training on how to use the existing tech in your room.

Wi-Fi Access

You can request access for an individual or group attending an event by submitting the Sponsored Visitor Wireless Access Form.

Please note: the form must be completed by a Suffolk employee. Requests submitted by an external person or group will not be accepted.

Suffolk University Police Department

If you are expecting a large crowd of external guests (50+), anticipate a VIP will be in attendance, or just have general questions or concerns regarding security for your event, please contact SUPD.


There are a limited number of spots available in the Stahl Garage (73 Tremont Street) and the Sargent Garage (120 Tremont Street).

To request a spot in either garage for a guest speaker, VIP, or other guest need, please fill out the appropriate form. Same day parking requests will not be accepted.
