New Supplier Basics

  • W9 requirement
    • Suppliers must supply the appropriate tax form with their registration. Further information about tax form requirements.

  • Insurance Requirements
    • Suppliers intending to conduct business on our campus will be required to provide proof of insurance following the below requirements:

      The following insurances must be evidenced:
      • General Liability - minimum limit $1,000,000/2,000,000 (including a Per Project Aggregate endorsement)
      • Umbrella Liability - minimum limit $5,000,000
      • Business Automobile Liability, Including Hired & Non-owned Automobiles - minimum limit $1,000,000
      • Workers Compensation – Statutory limits and Employers Liability
      • Professional Liability (errors and omissions) Insurance appropriate to the Company’s activities with limits no less than $1,000,000 per occurrence or claim, $2,000,000 aggregate.
      • Cyber Liability insurance including but not limited to; coverage for data loss and system damage, business interruption, notification expenses, content liability and regulatory investigation expense in limits of not less than $1,000,000.

      The above policies should include the following:
      • Suffolk University must be added as Additional Insured to the General Liability, Excess Liability and Umbrella Liability policies.
      • The certificate of insurance should state "All policies are written on a Primary and Non- contributory basis, and any insurance carried by Suffolk University are non-contributing with these policies"
      • All Policies should include a Waiver of Subrogation in favor of Suffolk University
      • Certificate of insurance must state not less than thirty (30) days prior notification will be provided to Suffolk University in the event of cancellation, non-renewal or material change in policies
      • All policies must be written by a carrier with a minimum A.M. Best rating of A - or better AND a financial size classification of VIII or higher.

  • Contracts and Purchase Orders
    • An Independent Contractor Agreement is required for business conducted with any individual. Please contact Suffolk Procurement or your internal contact for more information. A purchase order is preferred for any procurement requiring multiple payments, or if services are to be provided on campus
  • University Credit Cards
    • The University does sponsor a credit card program. Certain individuals throughout the community have access to cards to expedite their one-time acquisition of materials and services. Repeat or ongoing suppliers should register with us, but a one-time purchase or lower value purchase can be made through credit card. If you accept card payments, please discuss this option with your internal University contact

New Supplier Registration

In an effort to better serve our students and our community as a whole, Suffolk University has established a central collection point for new supplier information. The intent of this process is to streamline and accelerate the introduction and evaluation of new suppliers, product and services into our ecosystem

  • Coming soon. Fully self-service portal allowing Suppliers the ability to manage their own data and to be able to conduct business with Suffolk electronically (Requests for pricing, receipt of Purchase Orders, provision of electronic invoices)

Not only do we want to be inclusive in our business practices, but we want to foster and encourage the use of diverse business enterprises within the University. Our Supplier Registration and soon to be released Portal are your opportunity to let us know your own company’s diverse designation. This gives us visibility into the many diverse companies we already do business with, but also highlights new suppliers we can source materials and services from.
